Working with Children Checks Guide

1. Purpose

To ensure compliance with Australian Disc Golf’s (ADG) Supplementary Safeguarding Children Policy, all event directors, volunteers, coaches, and photographers working with minors must hold a current Working with Children Check (WWCC) or equivalent for the state/territory in which the event occurs. ADG reimburses volunteer-related application fees. Some states require Australian Disc Golf Inc to have registered as an Employer, the details of which can be found in the relevant Notes section.

3. Validity & Renewal

  • Standard validity: WWCC cards last up to 5 years, except NT’s 2-year Ochre Card.
  • Renewals: Must be completed before expiry to remain compliant.

4. ADG Reimbursement Process

If you volunteer for ADG and incur a fee to obtain a WWCC, ADG will reimburse the cost.

How to claim reimbursement:

  1. Complete your WWCC application or renewal.
  2. Once issued, take a scan/photo of your receipt or card showing the fee paid.
  3. Submit via ADG’s reimbursement form:
  4. ADG will reimburse within 30 days. Payment is made via bank transfer.
    • Maximum claim: WWCC application fee only.
  5. Keep copies for your own records.

5. Compliance Checklist for TDs & Clubs

  • Before the event (≥ 48hrs prior):
    🔲 Verify WWCC has been registered on the ADG National WWCC register for relevant event staff, volunteers and photographers. Otherwise;

    🔲 Collect and verify valid WWCC card, expiry date, or volunteer receipt.


🔲 Provide image of card and details to the ADG Safeguarding Children Officer  a minimum of 48 hours prior to the event to be lodged in the ADG National WWCC Register.

  • At event sign-on:
    🔲 Ensure all covered volunteers/staff have compliance before issuing duties or accreditation.
  • If someone’s card expires before renewal:
    🔲 They must cease child-related duties until renewed.
  • If someone is waiting on WWCC to be issued or cannot produce a valid WWCC for the relevant jurisdiction:
    🔲 They may still volunteer for the event but must not be allowed to participate in a position of Authority (e.g., Tournament Director, Assistant Tournament Director, Rules Official, Spotter, etc.), Photographer or any other role where they may be reasonably expected to interact with children.

6. Frequently Asked Questions

Q: What if my WWCC expires before I volunteer again?
A: You must renew before volunteering; otherwise, your receipt cannot be relied upon beyond 30 days post-expiry, depending on state rules.

Q: Will ADG reimburse the cost of a national police check or other documents?
A: No; reimbursement covers only the state WWCC application fee for volunteers/unpaid roles.
