Working with Children Checks Guide

To comply with ADG’s Supplementary Safeguarding Children Policy, all event directors, volunteers, coaches, and photographers working with minors must hold a current Working with Children Check (WWCC) or equivalent for the state or territory in which the event occurs.

Important: ADG reimburses volunteer-related application fees. Most applications are free for volunteers. ADG will not reimburse fees incurred where a free WWCC was available.

2. WWCC Requirements by State / Territory

WA 5 years AUD $11 — reimbursed WA Government
NT 2 years AUD $8 — reimbursed NT Government Ochre Card. Shortest validity — plan renewals early.
TAS 5 years AUD $22.44 — reimbursed Justice Tasmania ADG registered as Employer — link your RWVP to ADG on application.

3. Validity & Renewal

WWCC cards are valid for up to 5 years in most states and territories, with the exception of the NT’s Ochre Card which is valid for 2 years. Renewals must be completed before expiry to maintain compliance.

To verify your WWCC, please supply your full name, WWCC number, and a photo of your card or approval email to ADG’s Safeguarding Children Officer. QLD, NSW, and TAS also require your date of birth. ADG will retain verification documents in the national register.

4. ADG Reimbursement Process

If you volunteer for ADG and incur a fee to obtain a WWCC, ADG will reimburse the cost within 30 days by bank transfer.

How to claim reimbursement

Complete your WWCC application or renewal.

Once issued, take a scan or photo of your receipt or card showing the fee paid.

Submit via the ADG reimbursement form, including your name, ADG role, event(s), state, application date, fee amount, payment screenshot, and bank account details.

ADG will reimburse within 30 days via bank transfer. Maximum claim is the WWCC application fee only.

Keep copies of all documents for your own records.


5. Compliance Checklist for TDs & Clubs

Before the event (at least 48 hours prior)

  • Verify WWCC has been registered on the ADG National WWCC Register for all relevant event staff, volunteers, and photographers.
  • If not yet registered: collect and verify valid WWCC card, expiry date, or volunteer receipt.
  • Provide image of card and details to the ADG Safeguarding Children Officer at least 48 hours prior to the event.

At event sign-on

  • Ensure all covered volunteers and staff have confirmed compliance before issuing duties or accreditation.

If a card expires before renewal

  • The person must cease all child-related duties until their WWCC is renewed.

If WWCC is pending or cannot be produced

  • The person may still volunteer but must not be placed in a position of authority (e.g. Tournament Director, Assistant TD, Rules Official, Spotter) or as a Photographer, or in any role where they may reasonably be expected to interact with children.
